Print efficiency seems to be on everyone’s minds lately. As a business, how can we save money and reduce reliance on paper and supplies while still operating at full capacity? The answer is simpler than you might think. And, focusing on print efficiency is a great starting point to increasing overall office efficiency.

Despite the idyll of going paperless, print is still a valid and necessary part of today’s business environment. Rather than focusing on impractical objectives, it is more beneficial to set realistic print parameters that improve overall print functions, optimizing workflows. While you may not be able to get rid of paper, you can certainly minimize waste, reducing the impact on the planet and your bottomline. Reducing unnecessary expenditures is a sure-fire way to advance office efficiency. Here are three easy, yet effective hacks:

    1. Think, Then Print

Advances in technology have made it very easy to hit the print button and wait for printed document to pop out. But, since it is so easy, we often do it without really thinking through whether or not we need a printed copy of certain items. Pause and think about whether or not you truly need that print or can work with a digital copy instead.

    2. Print, Then Remember

When you do print a document, remember that you did and be sure to retrieve it from the copier or MFP. Confidential information is often left lying in plain sight—a security and privacy nightmare. This leads to so much waste as forgotten pages are either tossed or recycled at the end of the day.

    3. Ink Less

When you do print, be sure to have your devices set to grayscale as the default. Since color ink is considerably more expensive, use it only when necessary, such as client presentations or the like. You can also select certain eco-friendly fonts that save on ink. Using default setting is also a great way to make double-sided printing standard.

Not only are these tips essential to reducing print waste, but they are also critical to improving office efficiency. The art of being efficient is being able to get more done in less time with fewer resources—cutting costs and eliminating waste are excellent first steps to enhancing the overall performance of your business.
